Privacy Policy

1. Introduction and Scope

Scape-Ology LLC ("we," "us," or "our") operates Fleet King Federal at fkfederal.com. This policy describes information handling for our public website, engagement inquiries, and provisioned asset and maintenance intelligence services.

For an agency or contractor deployment, the executed agreement, applicable law, agency instructions, and any approved data-processing or security addendum govern customer data. This public policy does not expand permitted processing or override those requirements.

2. Information We Collect

Submit only information you are authorized to provide. Website inquiries should not include sensitive operational documents.

3. How Information Is Used

Customer operational content is processed to deliver the authorized service. Any additional use requires the permissions and contractual authority applicable to that deployment.

4. OpenAI Processing

Fleet King Federal is designed to use OpenAI models for AI-assisted analysis. When enabled in a deployment, relevant prompts, records, document content, and context may be transmitted to its configured AI service. The applicable agreement must identify the selected service, approved processing scope, and data-handling controls before customer data is submitted.

OpenAI states that API inputs and outputs are not used to train its models by default unless the customer opts in. This does not mean all API data is immediately deleted: retention depends on the service, features, and configured controls. Zero data retention, processing location, or a particular authorization level must be established for the specific deployment; they are not promised by this policy. 5. Hosting, Security, and Deployment Boundaries

Hosting, database, authentication, access controls, logging, and AI processing arrangements are defined for each deployment. Contract documents should specify service providers, processing locations, safeguards, support access, and incident reporting requirements.

The Fleet King Federal name and an AI provider’s credentials do not establish FedRAMP authorization, an agency authorization to operate, a DoD impact level, or other approval for the complete application. Any claimed authorization must be supported by documentation for the actual service and its deployment boundary.

Classified information, controlled unclassified information, and other restricted data must not be submitted unless the specific environment and governing agreement expressly permit that category of data. Users must follow their organization’s data-handling instructions.

6. Disclosures and Service Providers

We do not sell personal information or customer operational data. Information may be disclosed to authorized hosting, authentication, AI, communications, support, or other providers as needed for permitted service delivery and subject to the governing agreement.

Access by agency administrators, prime contractors, subcontractors, or service partners follows the provisioned roles and contractual permissions. We may disclose information when legally required or as otherwise permitted by the agreement, including for authorized security investigations. Notice and cooperation follow applicable legal and contractual requirements.

7. Retention, Return, and Deletion

Operational record retention, exports, return of data, deletion, backup handling, and transition assistance are defined by the applicable contract, agency records schedules, and lawful preservation obligations. Closing a user account does not necessarily authorize deletion of organization or government records.

Website inquiries and administrative records are retained as needed for their purpose and applicable obligations. Contact us to request information about retention or a permitted export or deletion. Any provider-specific retention must also be addressed for the selected deployment.

8. Requests Concerning Personal Information

You may request access, correction, export, or deletion of personal information where applicable law provides those rights. We may verify your identity and authority, coordinate with the responsible customer organization, and preserve information where law or the contract requires it.

Send requests to legal@scape-ology.com. Responses follow applicable legal and contractual deadlines. Requests concerning agency-controlled records may need to be directed to the agency.

9. Browser Storage and External Services

The interface uses local and session storage for authentication-related state, workspace preferences, and selected workflow information. External resources, authentication providers, and links may receive technical information when used. Their handling depends on the configured deployment and their applicable terms.

Fleet King Federal does not use advertising cookies or sell data for advertising. Follow your organization’s requirements for approved browsers, shared devices, and clearing locally stored information.

10. Intended Users and Policy Changes

The service is intended for authorized adult professional users acting for agencies, contractors, and service organizations. It is not directed to children.

We may revise this public policy and provide notice of material changes on the website or through appropriate service communications. A website revision does not amend an executed federal agreement or expand approved processing without the required contractual authorization.
